Three Mistakes That Still Show Up on Invoices
If you're about to spend real money on Fluence LED grow lights, spend 15 minutes with this checklist before you approve a quote. It's not a brand review. It's a budget protection routine.
I'm a procurement manager at a mid-size commercial greenhouse. I've managed lighting and equipment budgets north of $180,000 over the last six years, negotiated with more than a dozen suppliers, and made enough purchasing mistakes to build a useful list.
Here's the short version: seven checks. Some are obvious. A couple took me years to learn.

Fluence LED grow light rebates can make a quote look better than it is. But 'rebate eligible' is not the same as 'rebate approved for your utility.'
Many utilities use the DesignLights Consortium Qualified Products List (DLC QPL) to determine eligibility. According to the DLC QPL (accessed January 2025), eligibility is model-specific. The same brand can have listed and unlisted fixtures.
Before you compare fixture prices, ask:
- What exact model number is on the utility's approved list?
- Does the rebate apply per fixture, per watt, or per project?
- Who submits the application, me or the distributor?
- What documentation does the program require after installation?
In Q2 2024, I found a $24-per-fixture difference between two utility programs for the same model. The fixture wasn't different. The paperwork path was.
2. Match the Model to Your Greenhouse Layout
Fluence LED lighting covers a range of form factors: top lights, interlights, and some specialty options. I'm not going to recommend one. I don't know your gutter height, bench width, or crop canopy. But I can tell you what to ask for.
Ask for the .ies file and the fixture's PPF map. A fixture with excellent specs can still produce a bad result if the mounting height and row spacing don't line up. The question isn't 'Which brand is better?' It's 'Which model, at which height, with which distribution, works in this greenhouse?'
Ask the supplier to run a layout using your actual dimensions. If they say 'one layout fits all,' treat that as a warning.
3. Ask for Real Spotlight Photo Examples
When I ask for a spotlight photo, I'm not looking for a rendered product shot. I mean a photo where the fixture is on, the beam pattern is visible, and the light is hitting an actual crop. A render won't show you hot spots, glare, or how the light spills.
Ask for photos from more than one installation. If every photo looks like a marketing studio, that's a yellow flag. Grower photos are messier, less pretty, and much more useful.
4. Understand What a Class P LED Driver Is
If you've never stopped to ask what is a Class P LED driver?, you're not alone. But this spec has purchasing consequences.
Under UL 8750, Class P is a safety classification for LED drivers. It is not an efficiency rating. In practical terms, it means the driver was evaluated for use inside a luminaire's enclosure without requiring a separate fire enclosure in many installations. Always check the fixture's installation instructions before you assume anything.
Why should a procurement person care? Two reasons. First, if an inspector asks for listing documentation, you'll need to prove the driver matches the fixture listing. Second, if the driver fails, replacing it with a non-Class P equivalent can void the fixture's safety listing.
In March 2023, I approved a fixture order without checking whether the driver was field-replaceable. The spec sheet said 'integral driver,' and I didn't ask the follow-up question. When one driver failed, the fixture sat for three weeks waiting for an RMA. That failure changed how I read every LED lighting spec.
5. Calculate Total Cost, Not Fixture Price
Real talk: a rebate isn't a discount until it's approved, and a fixture isn't installed until the freight arrives. The lowest quote rarely wins once you add every line item.
When I build a TCO comparison, I include:
- Freight, liftgate, and inside delivery
- Hanging kits, mounting rails, and electrical connectors
- Controls integration, drivers, and spare parts
- Installation labor and commissioning
- Warranty return shipping and downtime
A 'free shipping' offer once cost us $450 more because the freight company classified the delivery as residential and added a liftgate charge. The supplier's quoted price was fine. The delivery terms were not.
6. Read the Warranty Like an Auditor
A five-year warranty sounds great. The real question is what the warranty process looks like when something fails.
Ask for the full warranty document, not the summary. Does it cover drivers? LED boards? Labor? Shipping both ways? Does the warranty require registration within 30 days? Is it transferable if you sell the operation? Who handles a claim if your distributor closes?
I didn't fully appreciate this until a failed fixture took 11 days to get an RMA number because the serial number wasn't registered. The warranty technically existed. The process wasn't ready. That's a budget risk too.
7. Put Rebate and Delivery Terms in Writing Before the PO
By this point, everyone sounds aligned. But I've watched handshake agreements fall apart when a rebate deadline moved or a sales rep changed jobs.
Get the rebate form in writing. Confirm who submits it, what proof-of-installation documentation is needed, and the exact deadline. If the supplier says 'don't worry,' that's not a process.
One more thing: if a utility program requires proof of installation, take spotlight photos during the burn-in test with serial numbers visible. Time-stamped photos are cheap insurance for an audit six months later.
Three Mistakes That Still Show Up on Invoices
If you only remember three things, remember these.
- Comparing $/watt without checking PPF per watt. Fluence LED lighting specs are usually strong, but you're buying photons, not watts. A cheaper fixture in dollars per watt can be expensive in dollars per useful photon.
- Letting 'equivalent to 1000W HPS' replace actual data. That phrase is a starting point, not a specification. Ask for the measured PPF, the IES file, and the operational lifetime data.
- Skipping delivery documentation. Photograph packaging, serial numbers, and fixture condition before installation. Rebate audits and warranty claims become much harder without a photo trail.
No procurement checklist can replace a site-specific lighting layout. But these seven checks will catch the expensive mistakes that show up after the invoice is paid.
